Sale returns & refunds

How to process a return without breaking your stock or GST.

A return in PharmaPOS is not a negative sale. It's its own document (a credit note) with its own serial, linked to the original invoice for audit.

Process a return

  1. Open Sales, find the original invoice, click Create return.
  2. Pick the lines being returned and the quantity for each. Enter a reason (defect, wrong item, insurance rejection, expired).
  3. Choose refund method: cash, back to card/UPI, or store credit.
  4. Save. Stock returns to the exact batch it came from, automatically.

What gets recorded

  • A credit note with its own serial — per outlet, per financial year.
  • Reversal entries in stock movements, inspection-ready.
  • The refund payment on the customer's ledger.
  • Reverse GST entries — the return shows up on your GSTR-1 as a credit note against the original invoice.

When returns are blocked

  • The batch has since expired or been archived — you must scrap it manually.
  • Someone already returned the same line quantity — partial returns are cumulative, not additive to infinity.
  • The original invoice was itself a return — no double-reversal.
